Booking & Confirmation

  • A booking is confirmed once the deposit is received.

  • The deposit is non-refundable, but transferable to another date within 1 year (subject to availability).

  • You'll receive an invoice, receipt, and calendar invite by email upon confirmation.

  • The remaining balance is due in full before your event.

  • Please double-check that all booking details provided are accurate.

  • For 3 hours bookings, we recommend scheduling the session closer to the end of your event, so the couple still has enough time at the booth. The 4 hours package remains the safer choice for full event coverage.

Payment Terms

  • The RM99 booking fee is deducted from your total package price.

  • The booking fee is payable via Online Banking only. The balance can be settled via Online Banking (our preferred method), credit/debit cards, or other supported methods.

  • No discount applies for choosing a payment method other than Online Banking.

  • SPayLater, PayLater by Grab, Touch 'n Go PayLater, and other third-party providers are subject to their own approval, limits, and fees, which we don't control.

  • Any charges imposed by third-party payment providers are the client's responsibility.

  • Prices are based on your quotation at booking; future price changes won't affect confirmed bookings.

  • Unpaid balances may lead to a suspended or cancelled booking, and we may withhold deliverables until payment is completed.

Venue Requirements

  • Indoor events only. Outdoor venues may result in cancellation without refund.

  • The venue must offer enough operating space and a dedicated power outlet nearby.

  • Parking, loading, and access fees at the venue are the client's responsibility.

Backdrop

  • Backdrops are subject to availability; we'll offer the closest alternative if needed.

  • You're welcome to use your own backdrop, though no discount applies.

  • Please confirm any custom backdrop arrangement with us beforehand.

Layout Design

  • Complimentary layout design from our catalogue is included.

  • You may supply your own artwork; we print it as provided and aren't responsible for its copyright or ownership.

Branding

  • Prints and the slideshow carry @kotaklensa branding by default.

  • Branding removal is available for RM250.

During the Event

  • Unlimited prints are included per session, but reprinting an entire past session in bulk isn't, to keep the line moving for other guests.

  • Extras like photo holders and keychains are first-come, first-served while stocks last.

  • We'll remind your event PIC about 30 minutes before the session ends, and can wait up to 15 minutes past the scheduled time for the couple to visit the booth.

  • We aren't responsible if the couple is unable to visit the booth within the session, whether due to the event's own programme running behind or other reasons beyond our control.

  • Additional time is available subject to approval and availability; we won't start early without the PIC's go-ahead.

  • If interrupted by a power or equipment issue, we'll extend the session where reasonably possible.

  • Should the internet go down, QR downloads and gallery uploads may be delayed, though the booth itself keeps running as normal.

  • Children should be supervised while using the booth; we reserve the right to decline use if necessary to protect our equipment.

Gallery & Content

  • Your online gallery is emailed about an hour before your session starts, once fully paid.

  • Guestbooks, albums, and accessories are handed to your event PIC or a family representative.

  • Your event content stays private; select photos/videos may appear in our portfolio unless you opt out.

  • The gallery stays live for 30 days, with reminders at 14, 7, and 1 day before removal.

Cancellation & Refund

  • If we cancel your booking, you'll receive a full refund of everything paid, including the deposit.

  • Cancellations on your end follow the deposit terms above: non-refundable, transferable within 1 year.

Equipment & Liability

  • You're responsible for damage caused by you or your guests, including repair costs.

  • We aren't liable for delays from venue conditions, power outages, internet issues, or other circumstances beyond our control.

  • Unresolved equipment failure limits our liability to a refund for that service.

Force Majeure

  • Neither party is liable for delays or cancellations from events beyond reasonable control, including natural disasters, severe weather, government restrictions, pandemics, venue closures, or civil disturbances.

  • We'll work with you to reschedule wherever possible.

Photography & Video Disclaimer

  • Photo and video quality can vary with venue lighting, space, and conditions.

  • Live Photos and similar features may be affected by low light or movement.

  • We always aim for the best possible results, but can't be responsible for limitations caused by the venue.

General

  • By making a booking, you agree to these Terms & Conditions and our published booking process timeline.

  • We may refuse or pause service if our staff or equipment are placed in an unsafe or abusive situation.

  • These terms may be updated from time to time; the latest published version applies to new bookings.
